DESCRIPTION:
The Final Trailing Docs Specialist manages the end-to-end lifecycle of post-closing documentation, such as recorded Mortgages/Deeds of Trust and Final Title Policies. This role involves proactive document retrieval, validation, and fulfillment to ensure the collateral file is perfected and compliant for the end investor.
RESPONSIBILITIES:
Document Management: Receive, image, and index final trailing documents into the system of record.
Proactive Follow-up: Initiate multi-channel outreach (email and phone) to settlement agents, county recorders, and title companies to retrieve outstanding documents.
System Validation & Upload: Validate the accuracy of recorded documents against the LOS and upload final versions to both internal systems and investor portals.
Physical Fulfillment: Manage digital and physical document workflows, including printing and shipping (via FedEx/UPS) to end investors or custodians.
Tracking & Closure: Maintain a continuous tracking log to ensure every loan reaches "Final Doc" closure status.
QUALIFICATIONS:
Required Education and Experience:
Understanding of the recordation process and title policy requirements.
Experience with document imaging systems and Loan Origination Systems (LOS).
Strong communication skills for effective follow-up with third-party vendors.
Efficiency in document processing (Target cycle time: 15 minutes per document).
