Role Purpose:

The Talent Resourcing Coordinator is responsible for providing end-to-end operational and administrative support across the recruitment and onboarding journey, ensuring candidates move efficiently through each stage of the process and into academy and client environments.
This role plays a central coordination role across systems, scheduling, documentation, compliance and stakeholder communication, supporting a high-quality candidate experience, strong process control and smooth handovers into academy and client onboarding.

Key Responsibilities & Activities
Candidate & Academy Coordination

Coordinate candidate progression through each stage of the recruitment process, from application and screening through to interview, offer and onboarding into our academies.
Maintain accurate candidate records, stage tracking and onboarding checklists within ATS and CRM systems.
Support scheduling and coordination of recruitment activity, academy start dates, inductions and key programme milestones.
Ensure candidates receive the right communication, documentation and resources at each stage of their journey into the academy.

Compliance & Documentation
Conduct and track compliance checks, verifying right-to-work and required documentation.
Maintain accurate, audit-ready candidate records and document interactions, readiness checks and outcomes consistently in systems.
Support governance and risk controls through clear, up-to-date documentation.
Complete all documentation required for onboarding candidates into client environments, including compliance checks, client-specific requirements and any special clearance processes.
Interview, Feedback & Deployment Coordination
Coordinate interview scheduling between candidates, clients, Talent, Sales and Service Delivery teams.
Prepare candidate profiles and summaries for submission to clients, ensuring information is accurate, well-presented and aligned to role requirements.
Capture, record and distribute interview and stakeholder feedback in a timely and professional manner.
Track outcomes, next steps and actions following interviews or client engagement.
Support deployment readiness tracking and prepare handover information for Service Delivery and client onboarding.

Data, Systems & Reporting

Act as a key user of ATS and CRM systems, ensuring data integrity and consistency.
Maintain talent pipelines, resourcing trackers and deployment dashboards.
Support tracking of SLAs and KPIs (e.g. cohort fill rate, onboarding completion, deployment readiness).
Produce regular operational and resourcing reports to support decision-making and planning.

Stakeholder & Team Support
Act as a central coordination point between Talent Acquisition, Training, Account Management and Service Delivery.
Provide ad-hoc operational and administrative support to the wider Talent and Operations teams as needed.
Ensure clear communication of timelines, status updates and ownership across teams.

Process Improvement & Feedback

Capture feedback from candidates, internal stakeholders and clients to support improvements in talent and resourcing processes.
Identify process gaps, inefficiencies or duplication and proactively suggest improvements.
Adhere to Talent SOPs and support their ongoing refinement and scaling.
Contribute to creating consistent, repeatable and scalable ways of working across the talent function.

Key Measures of Success

Success in this role will be measured through:

Accurate and timely progression of candidates through each stage of the recruitment process
Strong data quality and process compliance across ATS, CRM and onboarding records
Timely coordination of screening calls, interviews, feedback capture and client submissions
Completion of onboarding and client documentation to required standards, including compliance and special clearance requirements where relevant
Smooth handover into academy and client onboarding processes
Positive candidate and internal stakeholder experience throughout the process
Contribution to process consistency, continuous improvement and scalable ways of working across the talent function

Experience in recruitment coordination, talent operations, onboarding, HR administration, programme support or a similar role
Experience working with ATS, CRM or similar systems in an administrative, recruitment or operations environment
Exposure to compliance, right-to-work or client onboarding processes
Experience supporting client-facing recruitment, deployment or academy-style programmes
Experience working in a fast-paced or scaling business environment
